When you visit our web pages on www.hansa.com, our web server automatically saves the IP address assigned to you by your internet service provider, the website from which you visit us, our web pages visited by you and the date.  

You may be requested to provide personal information. Answering these questions is voluntary.

Within the scope of its business operations, HANSA also collects and processes personal data relating to current, former and potential customers and suppliers, and also that of their employees and representatives. In this respect, each individual natural person is considered to be "a data subject". This Privacy Policy is intended to ensure transparency and to show how the personal data of the respective data subjects is processed.

Processing of personal data

Personal data is for the most part collected directly from the data subject or with his consent. We may also process personal data which we receive from the company which represents the data subject, from authorities and our other co-operation partners (e.g. our sub-contractors) or which we obtain from publicly accessible sources (e.g. websites and commercial registers). Personal data includes:

  • identification data such as the name, the company which represents the data subject and his title;
  • contact details such as business address, telephone number and e-mail address; and
  • personal data acquired in the course of the business relationship, such as communications, details contained in orders, information concerning campaigns, special offers, joint activities or a co-operation and also the details necessary for invoicing and payments, the processing of deliveries, the fostering of customer and supplier relationships and our business development.

Legal basis and purposes of the processing

We process personal data, in so far as necessary, in order to protect our legitimate interests which arise when the data subject is our customer or supplier or acts on behalf of the latter, or in order to fulfil a legal obligation with which we are bound to comply.

Personal data is processed for investigations and negotiations with potential customers and suppliers, for the purpose of submitting and negotiating offers, processing orders, delivering products and providing services for our customers, and also for taking receipt of products and services from our suppliers, for the purpose of invoicing, for shipping purposes and for the issue of consignment notes, for the conclusion, implementation and maintenance of business agreements, for the purpose of organising and performing activities within the scope of such agreements and also for the publication of marketing communications concerning our business operations.

Transmission and storage location of data

Within the scope of our business operations, we may, where appropriate, transmit personal data to companies within our group and to our co-operation partners, such as e.g. supplier companies and distribution partners.

The personal data remains in the European Union or in the European Economic Area. Should we transmit your personal data to a location outside the EU / the EEA, we will inform you of this.

Retention of personal data

Personal data is retained by us as long as is necessary for

  • the realisation and performance of the relevant business agreements or for the submission and soliciting of offers and business proposals from existing and potential customers and suppliers and
  • other legitimate purposes in regard to the existing or potential business relationship, such as e.g. the preparation of financial data or
  • compliance with laws.

If the relationship with the relevant customer or supplier ends, the personal data will be retained by us in so far as necessary for our business operations, e.g. for the purpose of maintaining our contract archive and for the purpose of handling any complaints.

Furthermore. personal data is retained by us if this is prescribed for the performance of legal obligations by which we are bound such as e.g. in connection with accounting records.

As soon as the retention of personal data is no longer necessary, it will be erased or securely anonymised.

Co-operation with commission processors, controllers jointly responsible and third parties

Where, within the scope of our processing, we disclose data to other persons and companies (commission processors, controllers jointly responsible or third parties), transmit such data to them or otherwise grant them access to the data, this only takes place either on the basis of statutory permission (e.g. when transmission of the data to third parties, such as a payment service provider, is necessary for the performance of the contract), where users have issued their consent, where a legal obligation provides for this or on the basis of our legitimate interests (e.g. in the involvement of authorised agents, web hosts, etc.).

In so far as we disclose, transmit or otherwise grant access to other companies within our corporate group, this occurs in particular for administrative purposes as a legitimate interest and furthermore on the basis of a corresponding statutory stipulation.

Rights of the data subjects

As a data subject, you have, vis-à-vis ourselves, the following rights:

  • a right to information concerning your personal data;
  • the right to rectification or erasure of your personal data;
  • the right to restriction of processing relating to you;
  • a right of objection to the processing and
  • in certain circumstances, the right to data portability, i.e. you may receive the personal data concerning you, which you have provided to us, in a structured, commonly used and machine-readable format and may transmit this data to another controller.

If your consent was obtained to the processing, you are, as a data subject, entitled to withdraw your consent at any time. Please note that the lawfulness of the processing carried out prior to the withdrawal of your consent remains unaffected by this withdrawal.

Any application is to be addressed to the above-mentioned point of contact.

We will use our best endeavours to comply with your wish. However, occasionally we may also need to refuse your application. In this case, we will notify you of the reasons for our refusal.

Should you be of the opinion that our processing of personal data is not carried out in compliance with the provisions of the General Data Protection Regulation or other applicable laws, you may apply to the competent supervisory authority in order to clarify the appropriateness of the processing of your personal data.

Access to the information memory of your terminal devices (use of cookies)

So that we can follow your preferences when visiting our websites and hence continuously optimise the content in accordance with your individual wishes, HANSA uses cookies. Cookies are small text files which are saved on your hard disk. They enable the identification of your computer but do not collect or save any of your personal data. Cookies do not cause any damage to your computer and cannot contain viruses. You can prevent cookies being saved on your computer at any time via your browser settings. This may, however, impair the performance of the website under some circumstances.

Customer account / Registration function

If you set up a customer account with us via our website, we will collect and store the data which you enter upon registration (that is to say, for example, your name, your address or your e-mail address) exclusively for pre-contractual services, for the performance of the contract or for the purpose of customer care (for example in order to provide you with an overview of your previous orders from us or in order to be able to offer you the so-called memo function). At the same time, we then store the IP address and the date and time of your registration. Naturally, we do not forward this data to third parties.

Within the scope of the further registration process, your consent is obtained to this processing, and reference is made to this Privacy Policy. The data collected by us in this connection will be used exclusively for the provision of your customer account.

In so far as you consent to this processing, Art. 6 (1) (a) GDPR serves as the legal basis for the data processing.

To the extent that the opening of the customer account additionally serves pre-contractual measures or the performance of the contract, the legal basis for this processing is also Art. 6 (1) (b) GDPR.

You may at any time withdraw the consent you have issued to the opening and maintenance of the customer account with effect for the future pursuant to Art. 7 (3) GDPR. For this purpose, you need only inform us of the withdrawal of your consent.

The data collected in this connection will be erased as soon as the processing is no longer necessary. However, we must in this respect observe the tax and commercial law retention periods.

Google Analytics

Our web pages use Google Analytics, a web analytics service provided by Google, Inc. ('Google'). Google Analytics uses cookies that support analysis of your use of our websites and the selective display of advertisements by means of retargeting / remarketing. The information generated by the cookie about your use of our websites will be transmitted to and stored by Google on servers in the USA. Please note that on our websites the Google Analytics code is supplemented by “gat._anonymizeIp();” to ensure anonymized collection of IP addresses (so called IP-masking). Due to the activation of the IP anonymization on our websites, Google will truncate the IP address for Member States of the European Union as well as for other parties to the Agreement on the European Economic Area. Only in exceptional cases will the full IP address be sent to and shortened by Google servers in the USA. Retargeting / Remarketing

This website uses retargeting technologies that are operated by other providers (e.g. remarketing via the Google Display Network). By means of retargeting, users who have already shown interest in our brand and our products can be addressed with targeted advertising on our partners’ websites. On the basis of research results, we know that displaying personalized, interest-related advertising is more interesting for users than advertising that has no personal reference. With retargeting, the advertising is displayed on the basis of a cookie-based analysis of the user's previous actions. Self-evidently, no personal data are stored and equally self-evidently the retargeting technology is used in compliance with applicable data protection legislation. We use Hotjar in order to better understand our users’ needs and to optimize this service and experience. Hotjar is a technology service that helps us better understand our users experience (e.g. how much time they spend on which pages, which links they choose to click, what users do and don’t like, etc.) and this enables us to build and maintain our service with user feedback. Hotjar uses cookies and other technologies to collect data on our users’ behavior and their devices (in particular device's IP address (captured and stored only in anonymized form), device screen size, device type (unique device identifiers), browser information, geographic location (country only), preferred language used to display our website). For a fast and convenient application, we ask you to use our online application tool. It goes without saying that we use the details which you send us in the online application form exclusively for the purpose of processing your application, and we only pass on these details within the companies of the Oras Group. We store your contact and application details for the duration of the application procedure. No later than 6 months following the end of the application procedure, your application details will be erased unless you arrange for erasure of your own accord. We employ an encryption process for the online transmission of your applicant details so that your particulars are protected against unauthorised access (see below). Please note that applications which you send to us by e-mail are transmitted to us unencrypted and are therefore directly erased. We recommend the use of the online application tool.
